Advances in X-ray Analysis - Preparation of Manuscripts for Electronic Publication

The Proceedings of the 57th Annual Denver X‑ray Conference, Advances in X‑ray Analysis, Volume 52, will be produced on CD‑ROM by ICDD and will include The Proceedings of The 8th International Conference on Residual Stresses. Select DXC papers will also be chosen for publication in the journal, Powder Diffraction, and select ICRS papers will also be invited for publication in a special issue of archival journals. The Proceedings may also be published on the DXC website (www.dxcicdd.com). If you intend to publish your manuscript in the proceedings, the following information will apply.

ORIGINAL SUBMISSION
 - DO NOT send an electronic version of your manuscript at this time.

Please bring TWO HARD COPIES of your manuscript to the Denver X-ray Conference and provide a cover letter with the following information:

  1. The name of the conference that the work was presented (DXC or ICRS)
  2. Manuscript code (the code for your manuscript is published in the Program. Example: D104; C14; F34; S18.
  3. Contact author’s name, affiliation, mailing address and e-mail.

Manuscripts will be collected at the conference registration desk. If you are unable to bring your manuscript with you at that time, please mail two hard copies, no later than 3 September 2008 to: Denise Flaherty, ICDD, 12 Campus Boulevard, Newtown Square, PA  19073-3273, U.S.A.
Please do not forget the cover letter with the above information.

THE DEADLINE OF 3 SEPTEMBER 2008 IS A FIRM DEADLINE; manuscripts postmarked after 3 September 2008 will be returned.
Note to non-English speaking authors:
Please have your manuscript reviewed by a translation service prior to submission.

LENGTH AND SCOPE

CONTRIBUTED PAPER: no more than eight (8) pages.
INVITED PAPER: no more than ten (10) pages.
PLENARY PAPER: no more than fourteen (14) pages

FORMAT

  • PAPER:  uncoated white, 8.5  x 11 inches in size (21.6 x 27.9 cm); A4 paper must be formatted for 8.5 x 11 inches (Note: If A4 paper is not formatted for 8.5 x 11 inches, text may be cut-off from the bottom of the page.)
  • FONT:  Times or Times New Roman  in 12 pt size (unless otherwise noted)
  • MARGINS: 1 inch (2.5 cm) margin on all sides. Failure to acknowledge proper margins may result in text being cut-off from the page. 
  • LAYOUT:
    • Title:  uppercase (except where lowercase letters are needed for clarity), bold, 14 pt font size, centered. DO NOT use this format anywhere else in the manuscript.
    • Authors’ names:  mixed upper and lowercase, bold, centered
    • Affiliations of authors: mixed upper and lowercase, italic, centered. Authors from different affiliations should be footnoted, with each footnote corresponding to the appropriate affiliation.
    • Abstract, Introduction, References, and other Subheadings: uppercase, bold, left-justified.  Note: A one-paragraph abstract must accompany each paper.  The abstract should state briefly, in no more than 250 words, the main conclusion and the principal numerical results.  All papers must include details (not a general statement) on how the specimen(s), discussed in the paper, was prepared.
    • TEXT STYLE: Text should appear flush left; do not indent. Line spacing must be sufficiently large to allow the manuscript to be easily read, including subscripts and superscripts, Greek symbols, etc. A blank line is recommended between paragraphs, space permitting.
    • FIGURES:  All characters on figures must be clearly legible and absolutely no smaller than 1.5 mm high.
    • GRAPHICS, FIGURES, TABLES AND EQUATIONS: All MUST BE embedded in the text - not linked or placed at the end of the document! If they are not embedded in the text, the manuscript will not be accepted.
    • PAGE NUMBERS: Do not print your own page numbers on the front of your manuscript. Please write the page numbers on the reverse side of each manuscript sheet in pencil. The publisher will add the official page numbers.

    REVIEW

    Your manuscript will be reviewed within a few weeks after submission, and returned to you for revision, if necessary, or rarely, as a rejection.

    FINAL SUBMISSION

    Make the necessary revisions to your manuscript, according to the instructions of the Editor-in-Chief. Once your paper is reviewed and approved by the Editor-in-Chief for publication, resubmit a corrected hard copy and an IDENTICAL electronic version (see section on Electronic File Format). PLEASE BE SURE THAT BOTH THE ELECTRONIC AND HARD COPY VERSIONS ARE IDENTICAL. The hard copy will be used to proof read the final electronic version to make sure that all symbols have translated correctly.

    ELECTRONIC FILE FORMAT

    Do not send an electronic version of your manuscript until after it has been reviewed and accepted. All final manuscript submissions must include an electronic copy. There are only two acceptable electronic versions:

    1. Adobe "Portable Document File" or PDF. Preferred format. Please make evry attempt to use the PDF file format to ensure that the page layout of your manuscript will be maintained on the final CD-ROM.
    2. If conversion to a PDF format is not availabel to you , please submit your manuscropt in Microsoft Word, versions OFfice 2000 through Office 2007. If the manuscript is submitted in any other word processor format or non-PC formatted disk, it will not be accepted.

    Electronic submissions can be made in one of the following ways:

    • by ftp to: ftp.icdd.com (See "FTP Instructions). This is the preferred method
    • by mail on 3.5 inch floppy disk, Zip disk or CDROM.

    Please provide the following information with your electronic manuscript submission:

    • manuscript code (the code for your manuscript will be published in the Program. Example: d104).
    • contact author's name, affiliation, and e-mail

    FTP INSTRUCTIONS

    You are encouraged to submit the electronic version of your manuscript through the Internet by file transfer protocol (FTP). By submitting your paper through the Internet, you avoid paying a higher cost of shipping and avoid the possibility of damage to the media.

    • Connect to the Internet.
    • Open your web browser and type ftp://ftp.icdd.com/Authors/Manuscripts/Denver (you must type ftp://) into the address bar. Find the folder that corresponds to your manuscript number. Double click on the folder to open it. Note: If you have Internet Explorer version 7 as your default web browser you will have to use Windows Explorer to access the ftp. If you would like to open Windows Explorer from Internet Explorer, then in the Menu Bar go to View > Toolbars > Open Ftp Site in Windows Explorer.
    • Open another instance of Windows Explorer or double-click My Computer and locate the manuscript file on your local computer you wish to upload. At this time you can copy the file from Windows Explorer or My Computer to the ftp site. Please use one of the following methods:
      a. You can drag-and-drop the file from the local machine (Windows Explorer or My Computer) into the ftp site.
      b. Highlight then right-click the file from the local machine and select copy, then right-click on the web browser folder and click paste.
      c. Highlight the file on the local machine, click on Edit on Windows Explorer or My Computer menu bar and select copy, then select the web browser and select Edit on the web browser and select paste.
      d. Highlight the file on the local machine and press Ctrl+C with your keyboard (this will prepare the file for copying), then select your web browser and press Ctrl+V on your keyboard (this will paste and start the file transfer).
    • You have just uploaded your file and can dismiss all windows and disconnect from the Internet.
    • Retain your original file.
    • Email flaherty@icdd.com to inform ICDD that you placed information at the FTP Site.

    EDITORS' RIGHTS

    The editors reserve the right to reject a manuscript or have it retyped at the authors’ expense if it has not been submitted in reasonable conformity with the required style or if grammatical errors are excessive. We also reserve the editors' right to withhold the publication of a paper whose technical quality is, in our judgment, not in keeping with the objectives of the volume, or a paper that significantly exceeds the recommended length. Papers containing excessive commercial content will be rejected.

    ASSIGNMENT OF COPYRIGHT

    Submission of a manuscript is the authors’ representation that it has not been published nor submitted for publication elsewhere. A Publishing Agreement has been e-mailed to you as a separate file, and is also available on the conference web site: www.dxcicdd.com. A Publishing Agreement must be signed by ALL AUTHORS.
